General Description
Our client, a growing manufacturer and design-build organization in the Greater Sacramento area, is seeking a detail-oriented and highly organized Talent Acquisition Specialist to support recruiting and onboarding operations. This role will play a critical part in ensuring a seamless candidate experience by coordinating hiring activities, managing pre-employment processes, and supporting new hire onboarding from offer acceptance through Day 1 orientation.

The ideal candidate will have experience managing background checks, drug screens, onboarding documentation, and recruiting coordination activities in a fast-paced environment while maintaining a high level of professionalism and confidentiality.

Key Responsibilities

  • Coordinate all pre-employment and onboarding activities for new hires.
  • Manage candidate communications throughout the hiring process, including scheduling interviews, coordinating onsite visits, and providing timely follow-up.
  • Prepare and process onboarding paperwork, employment documentation, and new hire files.
  • Coordinate and track background checks, drug screens, physicals, employment verifications, reference checks, and other pre-employment requirements.
  • Ensure all onboarding requirements are completed prior to employee start dates.
  • Prepare Day 1 onboarding materials and support a smooth transition to the HR and onboarding teams.
  • Maintain accurate candidate records and activity within the Applicant Tracking System (ATS).
  • Monitor recruiting workflows and proactively identify outstanding tasks, delays, or process gaps.
  • Support recruiters by maintaining candidate pipelines and ensuring recruiting data accuracy.
  • Coordinate travel arrangements, accommodations, and interview logistics as needed.
  • Review recruiting and onboarding data for inconsistencies and take corrective action when necessary.
  • Exercise a high degree of professionalism and discretion when handling confidential employee, candidate, and company information.
  • Partner closely with Talent Acquisition, Human Resources, hiring managers, and operational teams to ensure an efficient hiring process.

Required Qualifications

  • 3-5+ years of experience in recruiting coordination, talent acquisition, human resources, or a related field.
  • Hands-on experience coordinating background checks, drug screenings, employment verifications, and onboarding processes.
  • Experience preparing onboarding documents and supporting first-day new hire activities.
  • Strong understanding of recruiting processes and candidate lifecycle management.
  • Experience working within an Applicant Tracking System (ATS).
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong verbal and written communication skills.
  • High attention to detail and commitment to accuracy.
  • Ability to handle confidential information with discretion and professionalism.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.

Preferred Qualifications

  • Experience supporting hiring within manufacturing, construction, engineering, design-build, or industrial environments.
  • Knowledge of employment compliance and onboarding best practices.
  • Experience working in a high-volume recruiting environment.

Schedule: Full-time, Monday-Friday
